1. About PMSKitPro

PMSKitPro is a guest experience and operations platform (Software as a Service) for hotels, vacation rentals, hostels and B&Bs. It helps property managers automate guest communication, manage reservations, and streamline operations across multiple properties. Our platform integrates with WhatsApp Business API, Airbnb, Booking.com, Cloudbeds, and other property management systems.

2. Role of PMSKitPro in Data Processing

PMSKitPro acts as a Data Processor on behalf of vacation rental property owners and managers who use our platform (the "Data Controllers"). Each property owner decides what data is processed through PMSKitPro. The platform processes data exclusively following the instructions of property owners and does not use it for its own purposes without prior consent.

3. Personal Data Collected

We process the following personal data:

1. Guest first and last name.
2. Guest mobile phone number.
3. Guest email address.
4. Check-in and check-out dates.
5. Reservation details (number of guests, property name, booking source).
6. WhatsApp messages exchanged between property managers and guests.
7. Meta user ID and business account information (for WhatsApp Business API integration).

4. Purpose of Data Processing

The data is processed for the following purposes:

1. Managing automated communication with guests (confirmations, instructions, reminders, etc.) via WhatsApp and other messaging platforms.
2. Facilitating reservation operations and service management.
3. Providing AI-powered guest assistance to answer common questions about properties.
4. Enabling property managers to connect their WhatsApp Business accounts through Meta's Embedded Signup flow.
5. Managing WhatsApp message templates for proactive guest communication.
6. Receiving and processing webhook notifications for real-time messaging.

5. Use of Meta Platform Data

PMSKitPro integrates with the Meta WhatsApp Business Platform. We use the following Meta permissions:

• whatsapp_business_management: To onboard clients' WhatsApp Business Accounts via Embedded Signup, manage message templates, and configure webhook subscriptions.
• whatsapp_business_messaging: To send and receive WhatsApp messages between property managers and their guests, including automated notifications and AI-assisted responses.

Meta Platform Data is used exclusively for the purposes described in this privacy policy and is not shared with third parties for advertising or unrelated purposes. We comply with Meta's Platform Terms and Developer Policies.

6. Data Storage and Deletion

Data is stored on Supabase (PostgreSQL database hosted in the United States and European Union) and Cloudflare Workers (for API processing). Guest personal data is retained for the duration of the business relationship between PMSKitPro and the property manager, and is deleted upon request or account termination.

Message data is retained for a maximum of 12 months for service improvement and dispute resolution purposes, after which it is automatically deleted.

7. Consent for Future Communications

Before any promotional communication, PMSKitPro ensures that explicit consent is obtained from the guest by the property manager. Guests may withdraw their consent at any time by contacting the property manager or PMSKitPro directly.

8. Data Subject Rights

In accordance with the General Data Protection Regulation (GDPR) and applicable data protection laws, individuals have the following rights:

• Right of Access: Request a copy of personal data we hold.
• Right to Rectification: Request correction of inaccurate data.
• Right to Erasure: Request deletion of personal data.
• Right to Data Portability: Request data in a machine-readable format.
• Right to Object: Object to data processing in certain circumstances.
• Right to Restrict Processing: Request limitation of data processing.

• Cloudflare Inc. (United States) - API workers and CDN.
• OpenAI Inc. (United States) - AI-powered message processing.
• Vercel Inc. (United States) - Web application hosting.
• Meta Platforms Inc. (United States) - WhatsApp Business API.
• Cloudbeds Inc. (United States) - Hospitality management platform; acts as a data source when property managers connect their Cloudbeds account.

All third-party processors are bound by data processing agreements and comply with applicable data protection regulations.

11. International Data Transfers

Personal data may be transferred to and stored in the United States through our third-party service providers. These transfers are protected by appropriate safeguards, including the EU-US Data Privacy Framework and Standard Contractual Clauses where applicable.

12. Children's Privacy

PMSKitPro is not intended for use by individuals under the age of 18. We do not knowingly collect personal data from children.
